About the role

We are seeking a full time Office Assistant to join our friendly and high performing Services team in Melbourne.

This is a varied, hands on role where you will play an important part in keeping our Melbourne office running smoothly and ensuring our people and clients enjoy a welcoming, professional and well presented environment.

Working as part of our Services team, you will assist with a broad range of day to day office activities, including meeting room preparation, kitchen and shared space upkeep, front of house support, office supplies, events and general office coordination.

No two days will be the same. You might start your morning preparing the office, setting up meeting rooms for client, assist with an office event, help manage office supplies or provide support to colleagues across the firm.

You will also have opportunities to assist with general administrative tasks and provide leave coverage for Executive Assistants when required.

We are looking for someone who enjoys being active throughout the day, takes pride in maintaining a clean, organised and professional workplace and is always willing to lend a hand.

Key responsibilities

Reporting to the Services Manager in Melbourne, you will:

  • Support the day to day running of the office, ensuring a welcoming, organised and professional environment for our people and clients
  • Prepare, set up and clear meeting rooms, ensuring they are clean, tidy, well-stocked and ready for use
  • Maintain the presentation and cleanliness of kitchens and shared office spaces, including regular tidying, cleaning and restocking throughout the day
  • Monitor and replenish stationery, kitchen supplies and other general office consumables
  • Assist with reception and front of house duties, including welcoming clients and visitors and responding to general enquiries
  • Support the coordination and delivery of internal meetings, firm functions and client events
  • Assist with mailroom, facilities and general office support activities
  • Proactively identify and attend to areas of the office requiring attention to maintain a high standard of presentation
  • Provide general administrative assistance and occasional Executive Assistant leave coverage, including diary management and other support tasks as required
  • Assist with workplace health and safety activities and general office procedures
  • Work collaboratively with the Services team and contribute to other office support activities as needed

About you

We are looking for someone who is friendly, reliable and takes pride in creating a positive workplace experience.

To succeed in this role, you will have:

  • Previous experience in office support, reception, hospitality, customer service, facilities or a similar hands on role
  • A proactive, practical approach and willingness to help wherever needed
  • Pride in maintaining clean, tidy and well presented spaces
  • Strong organisational skills and the ability to manage a variety of tasks throughout the day
  • Excellent communication and interpersonal skills with a friendly, professional manner
  • Good attention to detail and the ability to identify what needs to be done without always being asked
  • Confidence using Microsoft Office and learning new systems
  • A flexible, reliable and team-focused attitude
  • A willingness to undertake both practical office duties and general administrative tasks

Experience in a corporate or professional services environment will be highly regarded, but is not essential.

If you enjoy a busy, hands on role, like working with people and take satisfaction in keeping things organised and running smoothly, this is a great opportunity to join a supportive team within a leading Australian law firm.

What you need to know about the Melbourne Tech Scene

Home to 650 biotech companies, 10 major research institutes and nine universities, Melbourne is among one of the top cities for biotech. In fact, some of the greatest medical advancements were conceptualized and developed here, including Symex Lab's "lab-on-a-chip" solution that monitors hormones to predict ovulation for conception, and Denteric's vaccine for periodontal gum disease. Yet, the thousands of people working in the city's healthtech sector are just getting started, to say nothing of the tech advancements across all other sectors.
