Profile Requirements:

  • Min 4 years of experience as an Executive Assistant, Senior Personal Assistant, Legal Assistant or similar senior administrative role, preferably within a law firm or professional services environment.
  • Strong AI literacy and experience using AI tools to improve productivity, automate repetitive workflows, draft content, organise information and enhance administrative processes.
  • Exceptional written English and attention to detail, with the ability to review, format and produce professional correspondence and documents accurately.
  • Strong organisational and prioritisation skills, with the ability to manage complex calendars, multiple deadlines, competing priorities and high volumes of information independently.
  • High level of discretion, professionalism and confidentiality, with the ability to handle sensitive legal, client and financial information appropriately and exercise sound judgement.

Core responsibilities:

  • Manage and monitor executive email inboxes, identifying priorities, flagging urgent matters, organising correspondence and ensuring important actions are followed up.
  • Manage executive calendars, coordinating meetings, appointments, deadlines and commitments while proactively identifying scheduling conflicts and competing priorities.
  • Use AI tools and automation to streamline repetitive administrative tasks, improve workflows and reduce the time required for routine executive support activities.
  • Manage expense administration, including entering expenses, maintaining accurate records, categorising transactions and preparing information for financial reporting.
  • Generate and maintain regular reports, summaries and administrative dashboards, ensuring information is accurate, clearly presented and available when required.
  • Draft and format written responses, correspondence and documents based on instructions or existing templates, reviewing formatting, tone, structure and accuracy before finalisation.
  • Take ownership of recurring administrative processes and repetitive tasks, identifying opportunities to standardise, automate and improve how work is completed across the practice.
  • Maintain high standards of confidentiality and information management when handling sensitive client, legal, financial and executive information, while coordinating effectively with internal and external stakeholders.
  • Provide personal assistant support to executives, including coordinating personal travel, appointments, events, reservations and other personal arrangements as required.
