Profile Requirements:

  • Min 3.5 years of previous experience as an Executive Assistant, Paralegal, Legal Assistant or Legal Administrator.
  • Formal paralegal/legal studies or demonstrated experience working with legal documentation highly regarded.
  • Strong written English and professional business communication skills.
  • Excellent attention to detail, organisation and document-management capabilities.
  • Ability to conduct research, interpret requirements and prepare accurate documentation with limited supervision.
  • Experience with intellectual property, immigration, corporate or commercial documentation is advantageous.
  • Strong discretion and ability to handle sensitive and confidential information.
  • Proactive, resourceful and comfortable managing multiple priorities and deadlines.

Core responsibilities:

  • Provide comprehensive executive and administrative support, including calendar management, correspondence, meeting coordination and document preparation.
  • Prepare, review, organise and maintain business, corporate and legal documentation.
  • Assist with trademark, copyright and intellectual property administration, including research, documentation, applications, renewals and record keeping.
  • Support the preparation and administration of immigration and visa applications, including gathering supporting information and coordinating required documentation.
  • Conduct preliminary research and prepare background information for legal, regulatory, compliance and commercial matters.
  • Liaise with external lawyers, government agencies, consultants and other professional advisers to progress documentation and applications.
  • Maintain accurate registers, records, deadlines and filing systems for corporate, legal and compliance matters.
  • Support executives with broader business administration, special projects, reporting and confidential matters as required.
