The opportunity
We are seeking a talented and energetic individual to be our boots on the ground ensuring the smooth and compliant operations within our program at RAAF Base Edinburgh. Reporting to the National Manager for Business Support and Site Services this individual will be a trusted self-starter that can operate autonomously in a matrix environment. This will be done by engaging with the local Defence base management, service providers, contractors, along with local teams and management to ensure a safe and compliant work environment is provided to our employees. You will be the local point of contact for various facilities across the base and a wide range of responsibilities ranging from escorting contractors, organising and engaging contractors to coordinating program modifications relating to facilities.

Responsibilities:
Leadership and Team Management:
Lead and mentor facilities coordinator, providing daily operational support.
Foster a collaborative and high-performance culture within the facilities team and program functions.
Serve as the primary escalation point for facility related issues for the program and junior members
Strategic Facilities Management:
Oversee the planning and execution of facility-related projects, including renovations, expansions, and relocations.
Analyze facility performance and recommend improvements to enhance operational efficiency.
Contribute to the development of long-term facilities management strategies aligned with organizational goals.
Vendor and Contract Management:
Manage relationships with external vendors and service providers, ensuring open lines of communication with vendors to address any issues, provide feedback, and discuss performance.
Monitor vendor performance ensuring that all external service providers deliver high quality services that meet the organization's operational needs.
Budget Oversight:
Oversee the program facilities budget, ensuring alignment with program and organizational financial goals.
Identify and implement cost-effective solutions for facility operations.
Safety and Compliance Leadership:
Ensure all facilities comply with local, state, and federal regulations, as well as Boeing's internal policies.
Lead and participate in safety audits and inspections, addressing any identified hazards or compliance issues.
Communication and Stakeholder Engagement:
Serve as the primary point of contact for senior management regarding facility-related matters.
Prepare and present reports on facility performance, change proposals and project updates to Program leadership.
Collaborate with cross-functional teams to support organizational initiatives and enhance workplace satisfaction.
Experience/Qualifications• Relevant qualifications associated with business or other relevant technical background.• 5+ years direct experience in a facilities, office management or site services operational role• 2+ years working in a large matrix organization• Experience in Defence facility management is desirable but not essential.• Experience working remotely with a geographically dispersed core team• Experience dealing with senior stakeholders and translating operational requirements into actionable deliverables• Experience with managing and coordinating site operations as it pertains to local laws and company policies and procedures• Strong relationship building and stakeholder management skills• Project management experience and/or qualifications are highly desirable
