Profile Requirements:

  • 2+ years’ experience as an Executive Assistant, Administrative Assistant, or Operations Coordinator (preferably within a recruitment or professional services environment).
  • Excellent written and verbal communication skills.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and G-Suite.
  • Experience using recruitment CRMs/ATS (e.g., Zoho Recruit, Bullhorn, JobAdder, or similar) is an advantage.
  • Proactive, professional, and motivated, with a positive attitude and strong sense of initiative.

Core responsibilities:

  • Manage calendars, schedule meetings, and coordinate appointments across multiple time zones.
  • Prepare correspondence, presentations, and reports as directed by management.
  • Maintain organised filing systems (digital and physical) for company and client records.
  • Handle confidential information with discretion and professionalism.
  • Assist in tracking action items, follow-ups, and project deliverables.
  • Prepare candidate documentation, interview schedules, and onboarding packs.
  • Support the recruitment team with updating and maintaining CRM/ATS systems.
  • Assist in compiling job descriptions, contracts, and offer letters.
  • Manage general administrative functions such as record keeping, travel bookings, expense tracking, and invoice preparation.
