About the Role
We are currently seeking an experienced Executive Assistant to support our Melbourne Global Expatriate & Employment Tax team. This is a great opportunity to support three Tax Partners and two Tax Directors and join an established administration team, who are highly experienced and professional. This role is offered as full-time, with part-time considered based on experience and fit.
Key Duties and Responsibilities:
- Partner calendar management including sending and accepting invitations, booking rooms and catering etc 
- Screen telephone calls, respond to requests and/or forward onto the relevant employee 
- Process incoming and outgoing mail 
- Update the Client Relation Management (CRM) database ensuring data integrity - client details, bids, marketing events and business development activities 
- Financial administrative support including timesheet entry, billing, and processing of invoices for payment 
- Process expense claims for Partners and Directors within appropriate timeframes 
- Booking business related travel via our Corporate Travel agent 
- Client and contract administration including preparing engagement letters as required 
- Process of Conflict and Independence Checks - submitting checks, monitoring progress and filing of final sign-off in client electronic files 
- Draft Client Acceptance procedures for onboarding new clients 
- Maintain office filing and storage systems including archiving 
- Coordinate People & Culture activities including performance (RED) awards, team functions and team meetings 
- Assist other members of the Executive Assistant/Client Services teams when required 
About You
The expectation is that this person will support the Expatriate & Employment team on a number of levels and work closely with them on all administrative related tasks.
Naturally this will require someone with a strong ability to build and maintain internal relationships with key stakeholders.
Our successful candidate will have:
- Prior experience in a similar professional services role or C-suite equivalent, preferably also in a team environment; 
- Tertiary qualification preferred and advantageous; 
- Advanced IT skills and knowledge of the Microsoft Office suite, particularly Word and Excel; 
- Strong interpersonal skills to build effective relationships at all levels within the organization; 
- Ability to communicate effectively both verbally and in writing; 
- Ability to prioritise tasks effectively; 
- Proactive and self-motivated, demonstrating initiative and problem-solving skills; 
- Committed to delivering an excellent level of internal and external client service; 
- Flexibility, resourcefulness and adaptability to thrive in a dynamic environment; 
- Has a ‘can do’, enthusiastic and positive attitude;
