Are you an experienced Executive Assistant ready to take on a pivotal role supporting senior leadership in one of Australia's premier commercial property organisations? JLL's Victorian business is seeking a highly skilled Executive Assistant to provide comprehensive support to our Managing Director while contributing to the success of our dynamic leadership team.
What You'll Be Doing:
Executive Administration Excellence.
Provide comprehensive administrative support including diary, email, and file management.
Handle confidential and sensitive enquiries with complete discretion.
Coordinate complex travel arrangements and manage scheduling priorities.
Draft, proofread, and administer correspondence, reports, presentations, and meeting documentation.
Organise meetings, prepare agendas, take minutes, and track action items to completion.
Business Operations Support.
Manage business licensing requirements and ensure compliance.
Process routine payments, invoice reconciliation, and expense management.
Monitor team spending and budget adherence.
Coordinate client functions, events, and team meetings including venue sourcing and logistics.
Strategic Partnership.
Build strong working relationships with JLL Victorian Business Line Heads and Executive team.
Act as a liaison between leadership and various stakeholders.
Exercise sound judgment during the MD's absence, directing urgent matters appropriately.
Support broader leadership teams as required.
What You Bring:
Advanced proficiency in Microsoft Office Suite.
Previous high-level experience supporting senior executives.
Exceptional time management and organisational abilities.
Outstanding attention to detail and accuracy.
Highly developed written and verbal communication skills.
Proven ability to handle multiple stakeholders and competing priorities.
Demonstrated discretion with confidential and sensitive information.
Autonomous working style with strong decision-making capabilities.
Understanding of the commercial property industry.
Corporate PA/EA experience in a professional services environment.
Experience in event coordination and client relationship management.
