What you'll be doing:
This is no run-of-the-mill Facilities Manager position! As Workplace Manager, you will be responsible for the workplace experience of our team members and PI building assets in Australia (Box Hill, Melbourne) and USA (Irvine, California).  
As Workplace Manager, you will ensure all building assets are maintained at an organisational level, while acting as a strategic partner who treats PI's physical spaces as a direct extension of its culture. This role has multiple focus areas, including physical building compliance and efficiency (OH&S in Australia and OSHA in the USA); cleanroom facilities management in Melbourne; environmental, social and governance (ESG) performance; identifying building service faults, engaging appropriate contractors and leading building projects that are underway. 
You will also own and manage policy development, budgets and expenditure and manage travel arrangements for our team members.
This isn't a purely operational facilities role, the successful person will combine data, cross-functional alignment and proactive ownership to curate a workplace where PI teams can do their best work.
As Workplace Manager, you will also oversee the management of an Office Administrator who is responsible for delivering onsite daily support for managing office supplies, including kitchens, bathrooms and general office stationery, and being the primary contact point for office cleaners, suppliers and catering.
Key accountabilities include:
  • Drives the facilities and workplace strategy across Australia (Melbourne) and the USA (Irvine).
  • Builds strong relationships with senior regional and business leaders, developing a deep understanding of PI's trajectory to proactively plan for space, growth and cultural requirements.
  • Owns internal facilities/workplace communications end-to-end, providing operational status updates that drive alignment and information-sharing.
  • Partners tightly across functions - EHS, catering, events, security and People Matters, to deliver impactful workplace experiences.
  • Leads PI's facilities-related ESG agenda across Australia and the USA.
  • Comfortable making informed, local decisions, translating company-wide guidance into sensible site-level practice.
  • Builds and leads an agile, inclusive facilities/workplace team, including contractors and specialist vendors, and fosters a genuine feedback culture that enables innovation.
  • Delivers excellent, well-run building operations spanning maintenance, travel arrangements, catering, events and workplace programming across Melbourne and Irvine.
  • Champions a visible, proactive OH&S/EHS framework (OH&S in Australia, OSHA in the USA) that safeguards wellbeing.
  • Manages Melbourne cleanroom facilities, ensuring ongoing compliance with cleanroom classification and contamination-control standards.
  • Oversees the smooth running of corporate reception and the visitor experience.
  • Manages office supplies, kitchens, bathrooms and general office stationery; is the contact point for office cleaners and catering
  • Partners on agile workplace planning - office expansions, relocations, dynamically optimising space efficiency and utilisation across Australia and the USA.
  • Manages landlord relationships and the performance of facilities vendors and strategic partners.
  • Provides the Facilities budget each financial year (Australia and USA); owns budget forecasting, cost optimisation and risk management.
  • Identifies building service faults, engages appropriate contractors and leads building projects.
  • Manage ‘out of hours’ duties such as building security contact, emergency contact for cleaners, temperature alarm for science lab.

 About you:
  • At least 5 years' experience in building/workplace management, ideally including remote sites outside Australia.
  • Working knowledge of Workplace Health and Safety (Australia) is essential and OSHA requirements (USA) would be highly beneficial.
  • Experience managing workplace projects.
  • Exposure to dealing with Senior Leaders, with the ability to articulate information clearly and concisely, including proactive operational updates.
  • Demonstrated experience in change management processes.
  • Demonstrated experience managing quotes and tradespersons, as well as landlord and vendor relationships.
  • Working knowledge of budgets, budget forecasting and cost optimisation.
  • People leadership is preferred, including building and developing an engaged, inclusive team.
  • High exposure to a front-line, customer-service based role.
  • Experience with cleanroom environments (classification standards, contamination control, planned maintenance) is highly regarded.
  • Experience with, or exposure to, ESG reporting and sustainability initiatives.
  • Experience partnering with EHS, catering/food & beverage, events and security functions to deliver workplace programs.
