Maintains accounting records, budgets, invoices, payroll, accounts receivable and payable, bank reconciliations, expense reports, reimbursements, purchase orders, and compliance records. Performs data entry, reviews transactions, reconciles supplier invoices, prepares Xero reports, manages administrative email, communicates with vendors and customers, and handles confidential information and phone calls.
This is a remote position.

JOB DESCRIPTION: Virtual Assistant - Accounts Assistant and Bookkeeping
Purpose: The position is for a professional in charge of maintaining budgets and records. They also prepare invoices on behalf of clients or employers. Those in this role will be helping with day-to-day tasks related directly to their field, which means that precision is essential. They also support by performing clerical tasks, including processing and recording transactions, preparing reports and budgets, fielding communications with clients and vendors, fact-checking, filing, and other duties, as needed.
Qualifications:
● Work experience as an Accounting Assistant
● Excellent communication skills
● Knowledge of basic bookkeeping procedures
● Familiarity with finance regulations in Australia is a must
● Good math skills and the ability to spot numerical errors
● Organization skills
● Ability to handle sensitive, confidential information
● Proficient in XERO is a MUST
● Proficient in MS Office
● Experience in Hubdoc is a MUST
Duties and Responsibilities:
● Basic data entry tasks for accounting assistants include logging transactions, recording and reviewing journal entries, and crafting spreadsheets.
● Bookkeeping and bank reconciliations
● Payroll, AR and AP management
● Uploading invoices from email to Xero
● Sending weekly reports from Xero with any pressing items.
● Communicate with vendors and customers about invoices and payments. This could be by email or phone.
● Reconciling invoices and identifying discrepancies from suppliers and vendors
● Creating and updating expense reports
● Processing reimbursement forms
● Ad hoc admin tasks
● Create POs and email it to supplier
● Organize the admin@ email account
● Checking statements
● Managing redundancy funds and long service leave compliance
● Answering phone calls
