Job Description Summary

At Cushman & Wakefield, we are seeking a highly organized and proactive Team Coordinator to support our National Capital Markets, Logistics & Industrial team in Melbourne.
This role will provide essential day-to-day administrative support to the team while coordinating property campaigns from commencement through to completion. You will manage campaign documentation, reporting, marketing coordination, presentations, meetings and stakeholder communications.
This opportunity would suit an experienced administrator or team coordinator from a commercial real estate agency, boutique property agency or professional services environment who understands the end-to-end property campaign process.

About the Role

As Team Coordinator, you will provide comprehensive administrative and campaign support to the National Capital Markets team. You will help keep the team organized, ensure campaign requirements are completed accurately and on time, and act as a key coordination point between brokers, internal teams, clients and external suppliers.

Key Responsibilities

  • Providing day-to-day administrative and coordination support to the National Capital Markets team

  • Coordinating end-to-end property campaigns, from initial appointment through to campaign completion

  • Preparing and maintaining campaign documentation, including authorities, proposals, enquiry registers, vendor reports, heads of agreements and campaign trackers

  • Coordinating the production and distribution of marketing collateral with internal marketing teams, designers, printers and external suppliers

  • Managing campaign timelines, deadlines, approvals and required follow-up actions

  • Preparing presentations, reports, submissions and other client-facing documents

  • Coordinating meetings, agendas, video calls, meeting materials and stakeholder communications

  • Maintaining team databases, filing systems, contact lists and accurate campaign records

  • Liaising with National and State Directors, brokers, executive assistants, clients and external vendors

  • Assisting with travel arrangements, expenses and other general administrative requirements

  • Handling confidential and commercially sensitive information with discretion

To Be Successful, You Will Ideally Bring

  • Previous experience as a team coordinator, sales administrator, campaign coordinator or senior administrator

  • Experience managing or supporting end-to-end property campaigns

  • Commercial real estate, boutique property agency or professional services experience is highly regarded

  • Strong administrative skills and exceptional attention to detail

  • Excellent organizational skills and the ability to manage competing deadlines

  • Advanced Microsoft Office skills, particularly PowerPoint, Word, Excel and Outlook

  • Experience preparing polished presentations, reports and client-facing documents

  • Exposure to coordinating marketing collateral and working with designers or external suppliers

  • Experience with InDesign or Canva would be advantageous but is not essential

  • Strong written and verbal communication skills

  • Confidence working with senior stakeholders, brokers, clients and suppliers

  • A proactive, flexible and solutions-focused approach

  • A professional work ethic and the ability to handle confidential information appropriately
