About this role
We are looking for a Team Assistant / Paraprofessional in our Melbourne office to provide administration support to a busy team of Audit Staff and Managers for a 6 month fixed term contract. The successful candidate will be joining a high performing and experienced Administration Team who share a passion for customer and client service, are team oriented and value a positive work culture.
Key responsibilities
This is an exciting and multi- facet role where no two days will be the same. Initially you will be trained up in the role of Team Assistant learning all the skills required to confidently manage the Admin Team inbox where our Audit team staff members of up to 70 people direct all their requests for administration support. As your confidence and capabilities grow, you will then be introduced to the role of Paraprofessional where you will get to work 1:1 with up to 6 Managers.
As Team Assistant, some of the tasks you will be responsible for are:
- Monitoring the Admin team inbox and actioning requests from Audit team staff
- Timely processing and submitting invoices in WPR
- Assisting with Monthly Billing, Write Off and WIP follow ups
- Downloading of Company and Director searches from Illion
- Downloading of Financial Statements as required from Illion / ASIC
- Actioning confirmation.com requests from Audit team staff and reconciling charges in Concur
- Assisting Audit team staff with Travel bookings including flights and accommodation and reconciling travel expenses in Concur
- Assisting the Paraprofessionals with adhoc tasks as you learn and transition into the Paraprofessional role.
As an integral member of the Paraprofessional team, you will be responsible for:
- Work closely with a pool of Managers to provide extensive administration support throughout all facets of the Audit process for their client portfolio
- Work 1:1 with up to 6 managers to track their client portfolios to ensure the work progresses efficiently and effectively
- Proactively preparing client correspondence such as Engagement Letters, Audit Reports, Independence declarations, Audit Planning and Findings reports for Manager and Partner review, in advance to ensure client expectations and deadlines are met
- Prepare and distribution of Domestic and International relationship checks to comply with firm Risk policy and ensuring they are documented correctly and saved in the appropriate location
- Stay ahead of firm policies and procedures and ensuring these requirements are adhered to and documented and saved in appropriate location (NAS & CERA)
- Ensure all client correspondence and reports are documented appropriately and saved on relevant client files (iManage)
- Ensure all client correspondence is prepared in line with branding, ASIC and legal requirements using current templates from both Marketing and our National Audit Quality team.

This role will suit a professional with the following experience and attributes:
- Previous experience in a similar Team or Management Assistant role within a corporate environment, with the ability to work both autonomously and as part of a high‑performing team while managing multiple tasks under pressure.
- Strong relationship‑building skills, with the ability to adapt to different working styles and remain approachable while consistently meeting expectations and requirements.
- Highly proactive and outcome‑focused, with exceptional attention to detail, strong organisational skills, and the ability to plan, prioritise, multitask, and adapt to changing priorities.
- Excellent written communication skills, with the ability to prepare and format clear, concise, and grammatically correct correspondence, reports, and presentations.
- Intermediate to advanced MS Office skills, particularly in Word and PowerPoint, and a genuine enjoyment of working across a variety of tasks.
