Profile Requirements:
- Experience: Minimum 2.5 to 5 years of experience in sales or sales support roles, in addition to hands-on exposure to data entry or order entry in a production, fulfillment, or administrative environment.
- Order Management Systems: Demonstrated ability to learn and operate within production or order management software; prior experience entering structured order data from email-based inputs is strongly preferred.
- Sales Support Background: Prior experience supporting a sales team through outbound email outreach, lead prospecting, CRM management, or follow-up coordination, with the ability to follow templates and direction to execute on outreach independently.
- Attention to Detail and Typing Proficiency: Exceptional accuracy when transcribing order specifications (garment types, color counts, print locations, quantities, and deadlines) with minimal errors under time pressure across a high-volume, ebbs-and-flows order environment; fast and accurate typing is required given the pace of incoming order intake.
- Communication: Strong written English communication skills with the ability to flag order discrepancies, ask clarifying questions, draft outbound sales emails, and respond to team direction clearly and professionally across email and messaging platforms such as Slack, Google Meet, or Microsoft Teams.
- Industry Experience Preferred: Background in custom apparel, screen printing, embroidery, promotional products, or merchandise fulfillment is a plus; familiarity with order terminology such as garment types, print locations, and decoration methods preferred
Core responsibilities:
- Work Order Entry and Management: Receive incoming customer work orders via email and accurately enter all order details (garments, print colors, locations, quantities, and due dates) into the production system with a goal of same-day entry during standard volume and next-day during peak periods, monitoring the inbox throughout the day and prioritizing as orders arrive.
- Team Handoff Coordination: Upon completing order entry, route finalized work orders back to the appropriate internal team members so production and fulfillment can proceed without delay, flagging any missing or conflicting information before entry is finalized.
- Outbound Email Outreach and Prospecting: During periods of low order volume, conduct outbound email outreach and sales prospecting on behalf of the sales team, following provided templates and direction to support pipeline development and lead nurturing efforts.
- CRM Organization and Upkeep: Maintain and organize CRM records including contact updates, lead tracking, and pipeline cleanup to ensure the sales team always has accurate, up-to-date information to work from.
- Inbox and Follow-Up Management: Monitor and manage the sales team's outbound inbox, handling follow-ups, responses, and lead qualification as directed to keep active conversations moving forward.
- Admin and Social Media Support: Provide general administrative assistance to the sales and operations team as needed, including scheduling social media content and sending customer newsletters during slower order intake windows.
