Job Description

We’re looking for a Regional Administration Lead to join our multidisciplinary team and play a pivotal role in delivering high‑quality support to our clients, families, and therapists across VIC.

Your Key Responsibilities:

  • Ensure clinics follow all national administration and management processes
  • Optimise therapist schedules to maximise client hours, efficiency, and travel time.
  • Support continuity of care by rescheduling or converting sessions instead of cancelling where possible
  • Monitor therapist workloads and productivity, addressing barriers to full schedules
  • Audit client files to ensure NDIS plans are recorded and compliant.
  • Oversee administration tasks, emails, and team support to ensure timely completion of work
  • Ensure accurate appointment management, invoicing, and achieve 100% monthly billing
  • Generate and share reports on caseloads, productivity, and client data with leadership teams
  • Comply with WHS, privacy, child safety, cultural competence, risk management, and incident reporting requirements

What You’ll Bring:

  • Highly developed organisational skills with the ability to prioritise tasks and work at a fast pace to meet deadlines, with flexibility to re-prioritise as needs change
  • An empathetic capacity with the ability to listen patiently, respond appropriately, make risk assessments, escalate matters as needed and maintain confidentiality
  • Ability to collaborate and communicate effectively with our leadership team, therapists and clients
  • Excellent in-person, telephone, email and PMS-based communication skills
  • Demonstrated leadership and/or team coordination skills including delegating, scheduling and workload management

 

Qualifications & Compliance:

  • Minimum of three years administration experience
  • Experience in successfully leading a team of administrators
  • NDIS Workers Screening Check
  • Current Drivers’ Licence and vehicle
  • Current Working with Children Check or Working with Vulnerable People Registration (state specific)
  • National Police Check
  • Accredited First Aid Certificate
