About this role

As an Executive Assistant or Personal Assistant in the Financial Advisory Team, you will play a key role in the effective day-to-day operations of the team and provide intuitive support, displaying a high level of initiative, multi-tasking and adapting quickly to last-minute change. You will proactively anticipate the needs of your stakeholders before and as they arise.

Please note that this a maximum term contract opportunity ending November 2026 and a part-time position of 15 hours per week only

Key responsibilities

  • Provide highlevel administrative support to one Partner and adhoc support to the broader team
  • Manage inboxes, calendars, scheduling, and meeting coordination
  • Arrange domestic travel, accommodation, and itineraries as required
  • Process Partner expenses in Concur
  • Organise internal meeting, and client/referrer and team events
  • Prepare and finalise client documents, letters, and proposal materials
  • Manage and maintain databases and systems, including regular updates in Salesforce CRM
  • Support monthly billing processes
  • Provide general administrative and ad hoc support as required

Skills and experience

The ideal candidate will exhibit agility and responsiveness, thriving in a dynamic and demanding environment. This role is ideal for individuals with a background in professional services who can effectively demonstrate the following skills, experience, and attributes:

  • Previous experience as an Executive Assistant or Personal Assistant within a corporate or professional services environment
  • Strong written and verbal communication skills, with a positive approach to teamwork and the ability to collaborate with and manage expectations of stakeholders at all levels
  • Highly organised, with the ability to multitask and work effectively under pressure
  • High degree of accuracy and attention to detail.
  • Ability to learn new systems quickly.
  • Proficiency in Microsoft Office applications, including Outlook, PowerPoint, Teams, and Word
