With a team of approximately 245 people and growing, this role is designed to create capacity, improve effectiveness and enable greater leadership impact across the business.

We're looking for someone who can operate as an extension of the leader they support. Someone who anticipates needs before they arise, thinks several steps ahead, exercises sound judgement and takes ownership for outcomes.

You'll be trusted with significant autonomy and expected to proactively solve problems, remove roadblocks and ensure priorities are progressing without the need for constant direction. In this role, you will:

  • Manage complex calendars, competing priorities and leadership rhythms across a large, geographically dispersed business.
  • Take ownership of inbox management, triaging communications, escalating priorities and ensuring important actions are followed through.
  • Prepare meeting agendas, briefing packs and executive-level correspondence.
  • Support senior coordination activities, leadership meetings and business-wide initiatives.
  • Coordinate travel, accommodation and logistics across Australia.
  • Manage approvals, expenses, leave administration and workflows through systems including Workday and Dynamics.
  • Prepare executive briefings before client meetings, including attendee research, relationship history and recommended discussion topics.
  • Work proactively to identify risks, remove roadblocks and improve leadership effectiveness before issues impact the business.
  • Leverage digital tools, automation and Microsoft Copilot to improve productivity, communication and the way the leadership team operates.

What you'll bring

  • 7+ years of Executive Assistant experience supporting a senior executive or business leader in fast-paced environments
  • Experience working within engineering, consulting, professional services or similarly complex environments will be highly regarded.
  • Exceptional organisational skills, with the ability to manage competing priorities and keep things moving without constant direction.
  • Strong judgement and the confidence to make informed decisions on behalf of your executive when appropriate.
  • Proven experience managing complex calendars, inboxes, coordinating travel, inputting expenses and managing priorities.
  • Excellent written and verbal communication skills.
  • Advanced capability across Microsoft Office, Outlook, Teams and enterprise systems such as Workday, Dynamics and similar business platforms. Experience with Workday or comparable HRIS/workflow systems will be highly regarded. A genuine curiosity for emerging technologies and AI tools such as Microsoft Copilot, proactively looking for ways to improve productivity, streamline processes and enhance executive effectiveness is essential for success.

Most importantly, you'll be someone who sees what needs to be done and gets on with it. You're comfortable working autonomously, thinking several steps ahead and acting as a trusted extension of the executive you support.

What you need to know about the Melbourne Tech Scene

Home to 650 biotech companies, 10 major research institutes and nine universities, Melbourne is among one of the top cities for biotech. In fact, some of the greatest medical advancements were conceptualized and developed here, including Symex Lab's "lab-on-a-chip" solution that monitors hormones to predict ovulation for conception, and Denteric's vaccine for periodontal gum disease. Yet, the thousands of people working in the city's healthtech sector are just getting started, to say nothing of the tech advancements across all other sectors.
