We are seeking a highly organized and strategic Executive Assistant to join our Melbourne office and provide high-level support to the Australia Service Provider leadership team. This role goes beyond traditional administrative support; you will act as a true Business Partner to the leadership group. You will be responsible for managing the operational rhythm of the team, ensuring that our leadership functions with maximum efficiency, clarity, and focus. The ideal candidate is a proactive problem-solver who can navigate a fast-paced environment, anticipate needs before they arise, and serve as a reliable point of contact for internal and external stakeholders.

 

Your Role and Impact:

  • Calendar Management: Proactively manage complex and evolving calendars for the leadership team. Prioritize commitments based on business objectives, ensure adequate preparation time for meetings, and resolve scheduling conflicts with diplomacy and foresight across multiple time zones (Australia, Asia Pacific and US).

  • Rhythm of Business: Own the operational cadence of the Australia Service Provider leadership team. This includes coordinating leadership meetings, tracking follow-up action items, preparing agendas, and ensuring that key business milestones and reporting cycles are met on time.

  • Stakeholder Liaison: Serve as a primary point of contact for internal departments and external C-suite customers from major accounts. Represent the leadership team with professionalism, acting as a gatekeeper while fostering positive relationships across the organization.

  • Travel and Expense Management: Coordinate domestic and international travel arrangements, including complex itineraries and logistics. Manage expense reporting with strict adherence to company policy and accuracy, ensuring timely processing and reconciliation.

 

Required Skills

  • Coordination: Exceptional organizational skills with the ability to manage multiple competing priorities in a high-pressure environment. Expert-level proficiency in Outlook, Webex, and Microsoft Teams is required.

  • Communication: Highly developed verbal and written communication skills. You possess the ability to draft clear, concise correspondence and interact effectively with executive-level stakeholders.

  • Confidentiality: Demonstrated experience handling sensitive, confidential, and proprietary organizational and financial information with the highest degree of discretion, integrity, and professional judgment.

  • Proactivity: A forward-thinking mindset with the ability to anticipate needs and resolve issues before they escalate. You are a self-starter who thrives on taking ownership of processes and driving improvements in team efficiency.
