We learn together, we create together, we win together.

And most importantly, we have fun together.

About the role:

As a Senior Integrated Project Manager, you are the operational backbone of your client squad—responsible for the seamless delivery of integrated campaigns across all channels and touchpoints. You drive project excellence while also managing and optimising the allocation and utilisation of your squad’s creative, strategy, and design resources. You ensure that your squad operates efficiently, delivers outstanding work, and maximises profitability.
You will also play a key role in integrating Hogarth—Ogilvy’s dedicated production partner—into all relevant project workflows, ensuring seamless collaboration, effective planning, and successful delivery across both organisations.

What you’ll do:

Integrated Project/Program Management

  • Lead end-to-end planning, scoping, and delivery of integrated projects (TV, radio, print, OOH, digital, social, etc.) within your squad.
  • Collaborate with account, strategy, creative, and production leads to understand requirements, develop project plans, and estimate costs.
  • Drive projects forward, proactively managing risks, resolving blockers, and ensuring milestones are met.
  • Manage project scope, track burn rate, flag overruns, and ensure change requests are appropriately scoped and charged.
  • Lead project WIPs, stand-ups, and progress updates for internal stakeholders and clients.
  • Anticipate and manage client needs and expectations throughout project delivery.
  • Ensure early and ongoing involvement of Hogarth as Ogilvy’s production partner in all relevant projects, providing them with timely visibility of upcoming work, accurate forecasting, and clear requirements to enable successful delivery.

Squad Resource Management & Utilisation

  • Own resource allocation, scheduling, and trafficking for all creative, strategy, and design resources within your squad, in consultation with the ECD.
  • Forecast, plan, and balance workloads to maximise utilisation and avoid bottlenecks or overcapacity.
  • Maintain accurate, up-to-date records of resource availability and utilisation using agency tools (e.g., Wrike, Resource Guru).
  • Proactively identify and resolve resource conflicts; escalate complex issues to the Squad Client Lead or Operations Director as required.
  • Liaise with other squads for cross-squad resource sharing or conflict resolution when necessary.
  • Schedule and coordinate creative briefings, reviews, and internal meetings to align with project timelines, or delegate to (senior) account managers as appropriate.
  • Ensure timely involvement of specialists and producers at all project stages.
  • Support the hiring, onboarding, and management of freelancers for your squad, maintaining relevant records as needed.
  • Collaborate proactively with Hogarth production teams, coordinating schedules, sharing forecasts, and facilitating their integration into squad workflows.
  • Act as the primary point of contact between your squad and Hogarth for all production-related matters, ensuring alignment on timelines, deliverables, and resource needs.

Commercial & Financial Management

  • Jointly own margin growth/protection and revenue targets with account leads.
  • Oversee revenue recognition, update trackers, and ensure financial compliance.
  • Assist with annual Scope of Work costing and monthly forecasting for your squad.
  • Monitor missed revenue and overruns, share learnings, and implement improvements.

Process Governance & Improvement

  • Take ownership of workflow processes within your squad, continuously seeking opportunities to improve efficiency and effectiveness.
  • Champion the use of workflow and resource management tools, ensuring data integrity and adoption within your squad.
  • Foster a culture of operational excellence by sharing learnings and best practices with other squads.
  • Provide leadership and mentorship to junior team members, supporting their development.

Collaboration & Communication

  • Act as the operational liaison between account, creative, strategy, and production teams within your squad.
  • Foster strong relationships with internal and external stakeholders to enable smooth project delivery.
  • Participate in and contribute to regular WIPs, planning sessions, and problem-solving forums.

What you'll bring:

  • 7–10+ years’ project management experience in a creative agency or similar environment.
  • Demonstrated expertise in resource management, capacity planning, and workload balancing.
  • Proven ability to deliver integrated campaigns across digital, social, and traditional channels.
  • Strong financial acumen; experience managing budgets, revenue, and profitability.
  • Advanced proficiency with project/resource management tools (e.g., Wrike, Smartsheet, Resource Guru, Jira).
  • Proficiency with AI-powered tools for project management, creative development, workflow automation, and data analysis (e.g., ChatGPT, Midjourney, Adobe Firefly, Notion AI, etc.).
  • Excellent written and verbal communication skills.
  • Ability to build effective relationships and collaborate across disciplines.
  • Experience supervising/mentoring junior staff.
  • Track record of process improvement and driving operational excellence.
  • Ability to manage multiple projects and priorities simultaneously.

What you need to know about the Melbourne Tech Scene

Home to 650 biotech companies, 10 major research institutes and nine universities, Melbourne is among one of the top cities for biotech. In fact, some of the greatest medical advancements were conceptualized and developed here, including Symex Lab's "lab-on-a-chip" solution that monitors hormones to predict ovulation for conception, and Denteric's vaccine for periodontal gum disease. Yet, the thousands of people working in the city's healthtech sector are just getting started, to say nothing of the tech advancements across all other sectors.
