  • 0.8 FTE (Monday to Thursday), ongoing position

At headspace Narre Warren & Pakenham, we’re all about making a difference in the lives of young people aged 12–25. Our centres are a welcoming, inclusive, and safe space where young people can access support for their physical and mental health, alcohol and other drugs, and work and study needs. We’re looking for someone who shares our passion and can bring warmth and professionalism to our front desk.

Your role, your impact
As our Receptionist/Administration Officer, you'll help create positive first impressions and ensure the smooth day-to-day operation of two busy headspace centres. Your work will support young people, clinicians and the broader team to deliver accessible, high-quality care.

You will:

  • Welcome and support young people, families and visitors, creating a safe and inclusive environment
  • Manage reception activities, including appointments, client arrivals, enquiries and incoming calls 
  • Coordinate bookings and meeting spaces to support service delivery and team collaboration
  • Maintain accurate records and data entry across clinical and administrative systems
  • Manage correspondence and administrative processes that keep services running efficiently
  • Assist with office operations, including supplies, equipment and facility coordination
  • Build positive relationships with young people, staff and community stakeholders
  • Represent headspace in the community through events, networking opportunities and engagement activities

About you
You'll thrive in this role if you are organised, adaptable and genuinely enjoy supporting people.

You will bring:

  • Experience working in an administration, reception or customer service role
  • Strong communication and interpersonal skills, with a professional and empathetic approach
  • Experience working within a healthcare, medical or community service environment
  • Confidence using Microsoft Office and administrative systems
  • Ability to manage competing priorities and maintain attention to detail
  • Current Driver’s Licence

What will make you stand out?

  • Certificate IV in Business Administration, Medical Administration or a related field
  • Experience working within a youth-focused service
  • Experience using client management or healthcare administration systems
  • Understanding of community, not-for-profit or mental health services
