Kaluza is currently in an exciting growth phase, undergoing the next phase of our international expansion in Melbourne to further reinforce our capabilities as a globally distributed energy platform.
We're in the early days of building our team and so in-office presence to us is important - working really closely with our clients to forge a strong working relationship. Our team currently works from our office in Melbourne CBD (Spencer St) 2-3 days per week.
Our goal is to build a self-sufficient and empowered team here on the ground in Australia. We’re well on our way, but until we get there we still have some reliances on our UK team. Being comfortable working flexibly for a portion of your working week to cover time zones is required.
What will I be doing?
As we continue to scale and innovate, we need a sharp, organised and proactive Programme Coordinator to join our growing team. Reporting into our Programme Director initially, you’ll be working in our Customer Success team to provide a broad range of supporting activities for our major programmes team.
Your day to day responsibilities will include (but not limited to):
- Providing day-to-day support and coordination for the Programme, being responsive to needs and priorities.
- Ensuring that Programme governance is adhered to by the teams involved
- Scheduling meetings across multiple time zones, prioritising urgent requests and making adjustments as necessary
- Coordinate programme information management processes and procedures.
- Handle administrative tasks such as scheduling meetings, preparing materials, attending and minute meetings. as required
- Following up on actions and tasks in order to support the running of a complex programme, this could involve interaction with client, and both UK and Australian based teams
- Coordinating the production of executive level reporting (for both internal stakeholders and Kaluza’s external clients)
- Assisting with the preparation of company events, team meetings, and company-wide activities
- Being the go-to person for ad hoc tasks, ensuring the team has what they need to stay productive
About You
Ideally you’ll have/be:
- Understanding of project management techniques and some experience of working in a Programme team setup
- Experience in an administrative or support role, preferably in a fast paced environment
- Exceptional organisational skills and attention to detail
- Strong communication skills
- Ability to multitask and prioritise in a fast paced environment
- A high level of professionalism and discretion
- Familiarity with office software such as Google Workspace, Slack, Trello desirable
