About the role:

We are seeking an experienced Personal Assistant to provide high-level administrative support to three Leaders (Two Partners, one Director) and their teams within our Risk Advisory Services (RAS) division. This role is pivotal in ensuring the team meets client and firm obligations efficiently and on time. With competing priorities and deadlines, your ability to stay organised and proactive will be key to success.

Key Responsibilities

  • Format and prepare all client-related correspondence and reports in line with national standards.
  • Maintain accurate client records and update CRM systems regularly.
  • Organise and maintain client files to ensure compliance and easy retrieval.
  • Generate weekly and monthly reports to support team performance and planning.
  • Collate information for tenders and proposals, manage submission timelines, and ensure timely delivery.
  • Provide ad hoc administrative support for projects and team requirements.
  • Coordinate occasional travel arrangements and process related expenses.
  • Assist with planning and delivery of client events and training conferences.
  • Manage inboxes and calendars for three senior leaders, including scheduling meetings and tracking deadlines.
  • Draft and maintain correspondence on behalf of partners.
  • Prepare and process monthly invoices accurately, issue to clients, and follow up on outstanding payments.
  • Enter financial data promptly and maintain accurate records for reporting.
  • Ensure adherence to internal processes, policies, and procedures across the team.

About you:

You are a highly organised and proactive professional who thrives in a fast-paced environment. You take pride in your attention to detail and ability to manage competing priorities with confidence. You’re comfortable working independently while being an integral part of a collaborative team.

What You’ll Bring

  • Minimum 6 years in a similar PA or administrative role, ideally within professional services (accounting, legal, consulting).
  • Intermediate to advanced proficiency in Microsoft Office Suite and experience with CRM systems.
  • Exceptional ability to prioritise tasks and manage multiple deadlines effectively.
  • Strong written and verbal communication skills, with a professional and approachable manner.
  • Accuracy and consistency in all aspects of work, from formatting documents to managing financial data.
  • A self-starter who can work autonomously and take ownership of responsibilities.
  • Comfortable in a dynamic environment and able to respond quickly to changing priorities.
  • TAFE or Business College administration qualification preferred.
