The Payroll Systems Specialist is a specialist role focused on ensuring the accuracy, compliance, and functionality of the SAP Human Capital Management (HCM) Payroll module. 

The primary objective of this position is to rigorously test all aspects of the payroll system—from configuration changes and system upgrades to support packs and new implementations. 

Operating within the highly complex retail and hospitality environment, the Payroll Systems Specialist will be responsible for verifying that all calculations related to Modern Awards, enterprise agreements, and Australian legislation are performing exactly as required. 

This role is critical for mitigating financial and compliance risks before any changes are moved into the production environment.

Here’s a snapshot of the Payroll Systems Specialist responsibilities:

  • Analyse business requirements, functional specifications, and legislative changes to develop comprehensive test plans and strategies.
  • Design and write detailed, end-to-end test scenarios and scripts that cover all aspects of the payroll process, including remuneration, time evaluation, leave, superannuation, and taxation.
  • Create and prepare robust test data that accurately reflects the diverse and complex employee scenarios found in retail and hospitality (e.g., casuals, part-timers, shift workers).
  • Execute various types of testing, user acceptance testing, regression testing and post verification testing to validate system changes.
  • Perform meticulous validation of payroll calculations, specifically focusing on complex award rules, penalty rates, overtime, allowances, leave accruals, and termination payments.
  • Conduct parallel pay run testing, comparing results between the test and production systems to identify and investigate any discrepancies.
  • Test the end-to-end payroll cycle, including master data inputs, time data processing, payroll simulation, posting to finance, and downstream reporting.
  • Identify, document, and triage defects with a high level of detail in Testmo-the designated tracking system.
  • Work closely with the People Systems and Technology teams to troubleshoot and resolve identified defects and subsequently perform re-testing.
  • Provide clear, concise, and timely status reports on testing progress, risks, and defect resolution to the Payroll Systems Lead and project stakeholders.
  • Collaborate effectively with Payroll and Finance teams to ensure test scenarios accurately reflect real-world business processes.
  • Maintain a repository of all testing documentation, including test plans, scripts, and results, for audit and knowledge-sharing purposes.
  • Participate in workshops and meetings to provide a testing perspective on proposed system changes.

Qualifications

Now let’s talk about you: 

  • Minimum of 5+ years of hands-on experience as a Payroll Systems Specialist, with a strong focus on the SAP HCM Payroll module.
  • Direct experience testing payroll in the retail, hospitality, or a similar industry governed by complex Modern Awards is desirable.
  • Proven experience in testing Australian payroll, including a deep understanding of wage types, schemas, and rules.
  • Proficiency with major HRIS/Payroll platforms (eg SAP ECP) and Time & Attendance systems (eg UKG)
  • Demonstrated experience with system implementation or upgrade projects.
  • Demonstrated experience with all phases of the software testing lifecycle (STLC) is desirable.
  • Proficiency with test management tools such as JIRA, Confluence, or Testmo is desirable.
  • Solid understanding of both Agile and Waterfall project methodologies is desirable.
