We are looking for an experienced Office Manager & Executive Assistant to join our team based in Melbourne on a part-time basis. This role would be suitable for someone who can commit to a 4-day week or is available 5 days a week from 9am – 3pm (or similar).

What will you be doing? 

  • Welcome and assist visitors to ensure a professional and friendly impression of the organisation.

  • Provide support to the Regional Director on all day-to-day operations.

  • Answer/redirect enquiries from internal and external stakeholders.

  • Respond to complex / escalated enquiries from other secretarial staff.

  • Accurately transcribe, type, format and proofread a wide variety of material.

  • Travel management and coordination.

  • Effective management of internal relationships – both locally and internationally.

  • Support special projects and/or events as and when required.

  • Coordinate internal and external meetings so that they run smoothly eg scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available.

What are we looking for? 

  • 3+ years’ experience supporting leadership teams at an executive level.

  • Experience working within a global organisation is advantageous.

  • Ability to support project initiatives, with experience sitting in executive meetings and conferences.

  • Customer centric focus - ability to engage and influence stakeholders at all levels.

  • Excellent communication skills – ability to influence, coach and mentor managers and partner with the business.

  • Proficient in Microsoft Office Suite.

  • Proactive, can-do attitude.

  • Discretion, diplomacy and the ability to maintain confidentiality.
