If you are an organised, proactive and detail-driven Executive Assistant - this role is for you. This role plays a key part in keeping the department running smoothly - assisting with coordination, administrative execution, and day-to-day organisational tasks.

Please Note: We believe in the value of in-person collaboration! This is a full-time, on-site role at our Melbourne CBD office, where you’ll work closely with our dynamic team to drive innovation and growth.

What you will do:

  • Proactively manage calendars, meetings, priorities, travel and logistics for the CMO and Marketing leadership
  • Prepare and maintain high-quality documents, presentations and internal communications, providing operational and administrative support across the Marketing function with sound judgement and discretion
  • Own end-to-end meeting coordination, including scheduling, agendas, pre-reads, video/conference setup, minutes, action tracking and continuous process improvement
  • Maintain the central Marketing Calendar and improve operational systems (Google Workspace, Notion, team trackers) ensuring strong governance around file organisation, naming conventions, and version control
  • Prepare and interpret weekly and monthly operational summaries, proactively flagging risks and gaps
  • Coordinate logistics for events, conferences, sponsorship activations, workshops and team milestones, including registrations, travel, attendee management and onsite support
  • Support team enablement through onboarding coordination, CultureAmp administration and maintaining SOPs, checklists, shared folders and process documentation
  • Manage ad-hoc administrative initiatives and act as a trusted operational partner to Marketing leadership, anticipating needs and improving workflows

What you will bring:

  • 2-3 years’ experience in marketing operations, administration, coordination, EA/PA support or a similar role within a fast-paced environment
  • Strong organisational and time management abilities
  • Excellent attention to detail and pride in producing accurate, tidy work
  • Solid written communication skills
  • Comfortable using Google Workspace (Docs, Sheets, Slides), Slack and Notion
  • Ability to prioritise multiple tasks in a fast-paced environment
  • High level of discretion when handling confidential information
  • Positive attitude, initiative, and willingness to jump in and support the team
  • Proven ability to work autonomously and manage competing priorities
  • Strong stakeholder management skills, including confidence working with senior leaders
  • Demonstrated experience improving processes, documentation or operational workflows
  • High level of commercial awareness and sound judgement

Bonus points if you also have:

  • Experience in a marketing, creative or digital environment
  • Basic familiarity with project management tools or reporting dashboards
  • Interest in marketing, events or operations
  • Experience formatting presentations or simple reports
  • Experience supporting a senior leadership team or executive
  • Experience working in a scaling or high-growth organisation
  • Exposure to marketing performance reporting or campaign operations
