Key responsibilities
LMS and student administration
- Maintain the learning management system to ensure data accuracy, integrity and functionality
- Manage student enrolments, assessments, records and certificates across the LMS and student management system, including VETtrak
- Upload certificates and maintain student records within required timeframes
- Conduct data checks and rectifications to maintain record accuracy
- Monitor mandatory training completion and follow up outstanding items in line with compliance requirements
- Generate, interpret and distribute reports relating to training activity and regulatory compliance
- Support internal and external audits by preparing evidence, documentation and compliance reports
- Maintain compliance documentation and ensure records are audit-ready
- Coordinate learning and development activities, including inbox management, scheduling and record keeping
- Assist with course scheduling, trainer coordination, equipment coordination and stakeholder communication
- Issue Statements of Attainment and certificates in line with regulatory requirements
- Coordinate student reviews, USI verification and related compliance checks
- Maintain document control, version management and formatting updates for training and assessment materials
- Ensure training resources are accurate, current and professionally presented
Essential
- Proven experience using a student management system and/or learning management system
- Strong Microsoft Office skills, particularly Word, Excel and PowerPoint
- Experience in an RTO, VET, training, education or similar compliance-focused environment
- Excellent attention to detail and strong organisational skills
- High level of time management, problem-solving and communication skills
- Ability to work accurately under pressure and meet deadlines
- Demonstrated ability to build strong working relationships with internal and external stakeholders
- Australian citizenship, due to Defence security requirements
- Knowledge of RTO compliance requirements and VET regulatory frameworks
- Experience with VETtrak or similar systems
- Advanced Excel skills
