We are actively seeking a Executive Assistant. This is a hybrid role that requires one day a week in our Sydney or Melbourne office with occasional onsite meetings to support visiting Executives.

Position Summary

This role is a senior administrative role with a wide-ranging scope and offers the right individual a unique opportunity to contribute to the development of the ANZ operations within a fast-growing company. This role will report to the ANZ General Manager.

Essential Duties & Responsibilities

  • Key resource for the ANZ leadership team, providing administrative and operational support
  • Co-ordinate and manage cadence for ELT, sales and other functional meetings
  • Calendar management and administrative support for ANZ General Manager, ANZ Sales VP, with potential for additional Execs in the region
  • Responsible for organizing onsite meeting logistics (internal and external) including travel, food and beverages, presentation of meeting room (in coordination with travel team)
  • Maintain schedule of conference and meeting rooms. Update as meetings are scheduled or cancelled
  • Co-ordinate and manage logistics of visits of Executives and other visitors into the ANZ theater including assistance with travel arrangements for Executives, visiting employees and guests, including dining reservations, car services and meetings rooms
  • Perform general administrative and clerical duties as needed and assigned by colleagues including production of reports, performing research, etc.
  • Assist with the co-ordination and planning of internal events for employees
  • Responsible for the smooth running of the offices across ANZ
  • Manage and supervise office improvement/extension work
  • Perform various analytical special projects. Assignments typically have a broad range of responsibility and impact on the Company, but would typically be connected to sales and marketing activity
  • Collaborate with various staff and departments in preparing special projects
  • Assists sales and marketing function with various activities such as proposal preparations, forecasting, direct marketing campaigns
  • Liaise with Facilities and Regus management to ensure the office complies with Health & Safety obligations

Additional Duties and Responsibilities

May be assigned from time to time

Location

Sydney or Melbourne, hybrid working – 1 day/week in office as well as for one-off meetings and visiting executive trips

Experience

  • Previous experience in similar roles, providing executive assistance to leadership teams, administrative support
  • Experience with some office management tasks would be advantageous
  • Experience working in a US based technology company advantageous
  • Experience working with a largely remote, distributed employee-base advantageous

Skills

  • Excellent communication and organization skills at all levels both internally and externally
  • Ability to handle a wide range of tasks and to prioritize and manage own workload
  • Ability to maintain a professional and courteous manner with callers and visitors
  • Willingness and ability to quickly learn new skills
  • Demonstrable ability to work on own initiative and be a self-starter
  • Proficient in the use of Microsoft Office products including Office, Word and Excel
