Job Description Summary

Executive Assistant & Team Coordinator works closely with internal stakeholders to coordinate systems and processes in the assigned service line/state to ensure the team is able to deliver high standard services to the clients and achieve revenue targets. Executive Assistant & Team Coordinator may perform some Team Coordinator and/or Executive Assistant duties as required.

Job Description

Key Responsibilities:

  • Coordinate internal team meetings, video conferences, and external stakeholder engagements.

  • Prepare high-quality presentations, reports, submissions, and documentation.

  • Maintain professional branding across a suite of team documents nationally.

  • Plan and execute client events in collaboration with our internal marketing team.

  • Build and maintain strong working relationships with internal and external stakeholders.

  • Coordinate internal processes and systems to streamline team operations.

  • Track renewals, invoices, and financials to support accurate reporting and forecasting.

  • Ensure timely delivery of internal and external communications.

  • Monitor and maintain key team workflows and task lists.

Qualifications & Technical Skills:

  • Minimum 3 years’ experience in a senior Executive Assistant or high-level administrative role.

  • Real estate industry background is advantageous but not essential.

  • Exceptional interpersonal and written communication skills.

  • Excellent attention to detail, time management, and the ability to handle competing priorities.

  • High level of discretion and confidentiality.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) at an intermediate level or above.

  • Demonstrated ability to work both independently and as part of a team in a fast-paced, dynamic environment.

  • Experience with document formatting, office coordination, and team operations.
