The Executive Assistant (EA) provides administrative, operational, and strategic support to the Chief Executive Officer and the Chair of a fast-paced Auto Finance Company.
This role requires exceptional organizational skills, business acumen, discretion, and the ability to manage competing priorities in a dynamic financial services environment.
In this role you will have the opportunity to be a trusted partner to the CEO and Chair, facilitating communication, coordinating key initiatives, and ensuring efficient day-to-day operations of the executive office.
Key Deliverables;
Manage busy calendars, schedule meetings, and coordinate appointments.
When required assist with meeting agendas and maintenance of operating rhythms.
Work with Executive Manager to co-ordinate required activities of the CEO and Chair’s office
Liaise and support stakeholders, shareholders and Board members when required
At times, in conjunction with Event Manager and/or independently, coordinate work functions and events for internal employees and external engagements.
Prepare and/or co-ordinate correspondence, reports, presentations, and meeting materials.
Screen calls and emails; respond or redirect as appropriate.
Coordinate and design social events and activities, as required
Coordinate domestic and international travel arrangements, including itineraries and expense reporting.
Assist with special projects including process improvements and business initiatives
Track action items and follow up to ensure timely completion.
Maintain confidential files and sensitive information with discretion.
When required support office management as back up to Office Manager
Oversee administrative processes within the executive office and at times the Chair’s office
Manage expense reports, invoices, and budgets related to the CEO’s office
Ensure smooth day-to-day operations and logistics
In times of need support and act as backfill in supporting other ET members when other EA’s are on leave
Build effective working relationships and collaborate within the EA team.
Qualifications;
Significant experience in a similar position supporting CEO/Chair/Stakeholders/Investors within the Financial Services industry
Experiences;
Extensive executive administrative support experience.
Experience supporting facilities, office operations, or workplace services preferred.
Exceptional organizational and time management skills.
Strong written and verbal communication skills.
High level of professionalism and discretion.
Comfortable working with ambiguity and experience in setting up processes
Ability to prioritise and manage multiple tasks independently.
Proficiency in Microsoft Office Suite and collaboration tools (e.g., Outlook, Teams, Slack).
Problem-solving mindset with attention to detail.
Vendor management and budgeting experience preferred.
