The Executive Assistant / Office Manager (EA) provides administrative support to our senior leadership while also overseeing day-to-day office and facilities management.
This role ensures the executive’s operations run efficiently and efficiently and that the office environment is functional, safe, and well-maintained.
In this role you will have the opportunity to grow your proactive, highly organized, detail-oriented, and capable of managing multiple priorities skills in a fast-paced growing organisation.
Key Deliverables;
- Manage busy calendars, schedule meetings, and coordinate appointments for and on behalf of CRO.
- Serve as primary point of contact for office logistics support including, stationery, building management, vendors, and service providers.
- Ensure office supplies are ordered and maintained
- Ensure meeting rooms are tidy and when required provide refreshments for ET and customer meetings
- Where required assist with meeting agendas and maintenance of operating rhythms.
- At times, in conjunction with Event Manager and/or independently, coordinate work functions and events for internal employees and external engagements.
- Prepare and/or co-ordinate correspondence, reports, presentations, and meeting materials.
- Screen calls and emails; respond or redirect as appropriate.
- Coordinate and design social events and activities for the Melbourne office.
- Coordinate domestic and international travel arrangements, including itineraries and expense reporting.
- Track action items from leadership team meetings and other meetings as required and follow up to ensure timely completion.
- Maintain confidential files and sensitive information with discretion.
- Manage workspace setup, office moves, and onboarding logistics
- Process expenses
- In times of need support and act as backfill in supporting other ET members when other EA’s are on leave
- Build effective working relationships and collaborate within the EA team.
Qualifications;
- Significant and relevant experience in a related role(s)
Experiences:
- Extensive executive administrative support experience.
- Experience supporting facilities, office operations, or workplace services preferred.
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.
- High level of professionalism and discretion.
- Comfortable working with ambiguity
- Ability to prioritise and manage multiple tasks independently.
- Proficiency in Microsoft Office Suite and collaboration tools (e.g., Outlook, Teams, Slack).
- Problem-solving mindset with attention to detail
- Vendor management and budgeting experience preferred.
