This position requires managing deployment timetables and record-keeping for the jurisdictions of Victoria and South Australia. This role makes sure essential deployment documents are ready before installation. It updates customer records in Salesforce and interacts with customers.
This role is designed to keep data about scheduled work accurate throughout. It covers everything from prioritizing work to its completion on-site.
What You'll Do:
The following is a list of typical duties of the Deployment & Resource Planner VIC & SA. In addition to this, all employees are expected to follow all reasonable Management directives to ensure operational needs are delivered.
Scheduling Deployments (pre-deployment)
Work in conjunction with customers, Service Managers Vic and South Australia, and other industry collaborators such as monitoring providers, confirm & schedule installation dates
Determine the scope of work from customers, which influences availability and any other jobs scheduled for the same day
Validate the scope of work with the customer to ensure correct version control and lock in the final scope, prior to no further changes being accepted from the customer
Under direction from Service Managers, use Microsoft Outlook to create placeholder bookings with all required resources
Liaise with the Logistics team to ensure all required materials are available for scheduled works
Creation of deployment “Cases” in the Salesforce application using customer documentation (work orders and SWFs) to ensure accuracy of Salesforce scheduled works
Ensure that all products entering and leaving the venues is accurately tracked and captured via creation of “Work Order Line Items” within Salesforce Cases, for database integrity and accurate billing
Updating EGM Data (post-deployment)
Run the “Installation Report” daily to capture and identify gaming machine movements resulting from scheduled works and verify that Cases have flowed accurately into the system
Investigate and rectify any discrepancies between the Case and the Database records
Remove relevant items from the Asset and Contract systems, to accurately represent product that has exited the venue
Add relevant assets (including associated pricing & warranty period information) to Asset and Contract records, to accurately reflect product that has entered the venue
Use the Installation Report to check that game names have correctly flowed through from Cases to the Database.
Investigate any data discrepancies through utilization other personnel or sources of information to identify and resolve root cause of problems. Advance significant discrepancies if required.
Other duties
Support the Service Administrator with billing enquiries
Provide support to the service administration role on ad hoc tasks as required
Assist the Service Team with requests for information, create and run reports as required.
What We're Looking For:
Minimum three years administration experience
Excellent communication skills, both written and verbal
Strong ability in use of Microsoft Office package:
Word
Excel
PowerPoint
Previous experience with Salesforce along with D365 software application preferable but not essential
