Job Description

At HCA Doctors, we understand the complexities of the healthcare industry and are proud of our long history and expertise through our Medic Oncall and Locum Life brands. We partner with some of Australia’s leading medical groups, offering doctors access to a wide variety of rewarding and fascinating roles across the country.

This position is central to delivering accuracy, compliance and outstanding support across the Doctors division, helping us provide a seamless experience for doctors and clients alike. From approving shifts and invoicing clients to facilitating payroll and managing reporting, you will ensure our systems and processes run smoothly while delivering excellent service to both internal and external stakeholders.

Day to day, you will:

  • Collate and approve timesheets for doctors while liaising with payroll providers
  • Prepare supplier invoices and support client billing processes
  • Assist with reporting across health panels and corporate programs
  • Provide administrative support to ensure compliance with regulatory requirements
  • Support the team with system templates, forms, and back-office processes

This role will be based at our Melbourne head office, with some initial onboarding and training to be completed alongside team members in Mornington. Candidates located in the south-east of Melbourne may find this role particularly convenient.

Let’s talk about you

This role suits an Admin/Business Support professional who has experience with systems, timesheet/invoice processes and or employee compliance – better still if this has been within a healthcare or recruitment setting!

You have experience improving processes and templates, enjoy supporting a team to work efficiently, and are comfortable communicating by phone with a range of stakeholders (inc. doctors, clients & internal teams).  Above all, you’ve got exceptional attention to detail, collaborative and enjoy being the go-to person who keeps operations running smoothly.
