Program Coordinator
The Flu Vaccination Coordinator organises all aspects of a national vaccination program from planning to delivery for one or an allocated selection of our clients. The Flu Vaccination Coordinator is responsible for ensuring the program is delivered to the standard of the company and meets all the needs of the relevant client/s. The ability to work within budgets and timeframes and provide a professional standard of customer service to the client and participants is essential in successful completion of this role. Furthermore, the Flu Vaccination Program Coordinator must be efficient at identifying the needs of clients and adapting services accordingly.
Key Responsibilities:
- Effectively manage assigned flu vaccination clients and assist with management of other similar clients when required
- Liaise with client contacts regarding all aspects of the program delivery, including feedback
- Successfully organise vaccination sessions in line with client briefing and expectations within a timely and cost-effective manner
- Liaise with the influenza vaccination administration assistants on staffing requirements, nurse schedules, marketing material requirements for clients to improve uptake and booking system requirements
- Liaise with the equipment coordinators and administration assistants on cold chain management adherence, equipment requirements and logistics
- Liaise with the immunisation nurses on shift allocation and provision of clinic information, compliance with state regulations and cold-chain management adherence
- Complete reporting requirements and data collection within protocol
- Provide additional support or reports to clients at the end of the flu season when required
- General office or business assistance when requested by a manager
Administration Assistant
The role involves administrative support of the delivery of a national vaccination program in workplace vaccination clinics. The successful applicant will be responsible for ensuring the program is delivered to the standard of the company and meets all the needs of our clients. Providing professional customer service to our clients and participants is essential for this role, as well as a willingness to support the wider team. The Admin Assistant team generally work under focus areas of Equipment Admin, Nurse Admin or General Admin, however, can work across the other streams as required.
Key Responsibilities:
- Handle customer queries via telephone and email in a timely and professional manner
- Process paperwork and vaccination records via the Australian Immunisation Register
- Assist in the organisation of vaccination sessions in line with client briefing and expectations
- Liaise with the vaccination coordinators on staffing requirements, nurse schedules, marketing material and booking system requirements
- Ensure compliance with cold chain management and the provision of all nurse equipment requirements
- Liaise with the immunisation nurses on shift allocation and provision of clinic information and compliance with state regulations
- Complete reporting requirements and data collection within protocol
- Accurate and organised data tracking and reporting
- Assist nurses with the pick-up and drop-off of supplies at the beginning and end of weekdays
- Provide additional support or reports to clients when needed
